Permanently Deleting Deleted Messages
Deletingmessagescanbeanimportantwaytoreducethesizeofyourmailbox,especiallywhenCiscoUnity
Connectionisnotsetuptoautomaticallydeletemessagesoncetheyreachacertainage.
AskyourConnectionadministratorifthesystemissetuptoenforceamessage-retentionpolicy.Connection
doesnotindicatewhenamessage-retentionpolicyisenforced,nordoesitwarnyoubeforemessagesare
permanentlydeletedasaresultofsuchapolicy.IfConnectionisnotsetuptodoso,makesurethatyou
permanentlydeletemessagesperiodically.

About Dispatch Messages
Dispatchmessagesaresenttoadistributionlistofuserswhoareavailabletorespondtoissues.Onlyone
personneedstoacceptadispatchmessage.AfterCiscoUnityConnectionplaysadispatchmessage,itprovides
thefollowingoptions:
Meansthatyouaretheonlymemberofthedistributionlistwhowillacceptthe
message.Copiesofthemessageareremovedfromthemailboxesofallother
recipients,whethertheyhavelistenedtothemessageornot.
Acceptthemessage
Meansthatthemessageisremovedfromyourmailbox,butcopiesofthemessage
remainasunheardinthemailboxesofotherrecipientswhohavenotyetdeclined
themessage.
Declinethemessage
Ifallotherrecipientshavedeclinedthedispatchmessage,youmust
acceptit.Youwillnotbeallowedtodeclinethemessage.
Note
Meansthatthemessageremainsasanunheardmessageinyourmailboxand
inthemailboxesoftheotherrecipientswhohavenotyetdeclinedthemessage.
Postponethemessage
Responding to Dispatch Messages
Notethefollowingconsiderationsaboutrespondingtodispatchmessages:
•Ifanotherrecipientacceptsthedispatchmessagebeforeyouacceptit,yourcopyofthemessageis
removedfromyourmailbox.
•Whenyoudeclineadispatchmessage,CiscoUnityConnectiondoesnotmoveittoyourdeleteditems
folder.

•Dispatchmessagestriggerthemessageindicatoronyourphone.Ifanotherrecipientacceptsadispatch message,Connectionturnsofftheindicatorafteritremovesthemessagefromyourmailbox.Theremay beawindowoftimebetweenmessageremovalandtheindicatorgoingoff.Ifyoufindnonewmessages afternotingtheindicator,itlikelyisbecauseyoucheckedduringthiswindow. •Whenconfiguringmessagenotificationrulestoincludedispatchmessages,beawarethatbythetime youreceiveanotificationandcallintoretrievethemessage,itmaybegonefromyourmailboxbecause anotheruserhasalreadyacceptedthemessage. YoucanplaceacalltoacontactortoanotherCiscoUnityConnectionuserbysayingtheperson'sname,or
phonenumberorextension.
Forexample,whenyousay"CallHarrietSmith,"ConnectionfindstheextensionforHarrietinthecorporate
directoryandplacesthecall.Whenyousay"CallMomathome,"Connectionfindsyourmother'shomephone
numberinyourcontactlistandplacesthecall.
Toplacecallsbyusingvoicecommands,youmustbesignedintoConnection.Thisfeaturecanbeuseful
whenyouarecheckingmessagesandwanttoplaceorreturncalls.
Afteryousayaname,phonenumber,orextension,Connectionplaysamatchingnameornumberandplaces
thecall.IfConnectionfindsmorethanonematchforanameornumberthatyourequested,thefirstmatchis
playedandConnectionwillaskyoutoconfirmwhetherthematchiscorrect.Ifnot,say"No,"andConnection
willcontinuetoplaytheothermatches.
