    2. The roller assembly fits in a channel in the ADF 
    cover. You can identify the roller assembly by its 
    orange lock flange.
    3. To remove the roller, push the lock flange down to unlock it. The roller will now be loose and can be  removed from its channel.

    4. Holding the right hand side of the roller, gently pull it down and away from its channel.
    5. Now angle the left side of the roller assembly out and away from its housing.
    6. You can discard the roller. It cannot be refurbished or reused.

    To Replace the roller assembly:
    1. Hold the roller by its right hand side and slide th
    e left hand side into its housing. Make sure the 
    small wheel on the left end of the roller seats properly into its housing.
    2. Angle the roller up and into its channel. Make su re the wheel on the left hand side remains seated 
    in its housing.
    3. Push the locking flange up to lock the roller in place.
    4. Close the ADF cover.
    Your scanner is now ready to scan with its new roller assembly.

    Troubleshooting
    Problem: The scanner won’t scan. 
    Check for one of these possible problems:
    •
    Is a cable loose or not plugged in securely?  Inspect all cable connections. Make sure all the 
    cables are plugged in securely.
    • Is the scanner’s status light on?  Turn on the scanner’s power. If the status light doesn’t come on, 
    plug the power supply into another electrical outlet.
    • Did you restart the computer after installing the software?  If you didn’t restart the computer, it 
    may not have loaded all of the software files. Try restarting your computer.
    • Did you plug the scanner into a USB hub?  Try plugging the scanner directly into a USB port on 
    the computer.
    • Did you select another TWAIN source for acquiring images?  If you use multiple TWAIN devices 
    with your computer, you may have selected another source for images. Make sure TWAIN: Xerox
    ® 
    DocuMate® 3640 is selected as your scanner. 
    Problem: The scanner does not work afte r performing a Windows System Restore.
    The system restore process may have corrupted some  of the driver components. It is recommended 
    that you reinstall your scanner driver. 
    Problem: The scanner buttons do not work after  scanning with Windows Image Acquisition (WIA).
    After performing a scan using the WIA interface you  must close the application you were using before 
    scanning with the buttons on the scanner. This does not occur when scanning using the TWAIN or ISIS 
    interface.
    Problem: The scanner doesn’t work after the comp uter has been sitting idle for several hours.
    To resolve the problem, simply turn off the scanner power then turn it back on again.
    This may occur after Windows goes into power saving mode to “hibernate” the computer into a low 
    power state. When you move your mouse or type on  the keyboard it “wakes” the computer back up and 
    restores full power to the system.  This power fluctuation during the computer’s hibernating period may 
    sometimes cause the scanner to lose  communication to the computer.
    Problem: PaperPort reports an error that it canno t allocate enough memory to perform internal 
    critical operations.
    Close any other active applications so that additi onal memory is available. If you click Continue, 
    PaperPort moves the file to the PaperPort data dire ctory and renames the file with the prefix “bad.” 
    This allows you to recover the file later. To recover  the file, import it into PaperPort by using the Import 
    command in the File menu.

    Problem: The installation will not complete succe
    ssfully. If installation finishes, the scanner’s 
    OneTouch options do not seem to work properly.
    A likely cause is that some driver programs are already installed on your computer for another scanner. 
    They may be interfering with the installation and  OneTouch options, and you need to remove those 
    other drivers and re-install your 
    Xerox® DocuMate® 3640 scanner. Please see the documentation that 
    you received with the other scanner for the steps to  remove its driver programs. After uninstalling the 
    other scanner’s driver programs, uninstall OneTouch  using the steps on page 210 then install OneTouch 
    following the instructions in  the Installation chapter.
    Problem: Out of hard drive space error messages.
    The minimum requirement of 350MB free hard drive sp ace is for the installation of the software and 
    basic, low resolution, scanning. High resolution scans re sult in files that can be over 1 gigabyte in size. 
    Free up some space on your hard drive for the  software to be able to save the scanned images.
    Problem: I got an “SVS001” error when installing Kofax VRS. 
    The message “SVS001: The VRS installation does not install an ISIS driver for the scanner you selected. 
    Please install the ISIS driver packaged with your scanner.” is not an error message. Please click on OK to 
    finish the installation. 
    This is a message informing you that the software do es not install an ISIS driver. This is the correct 
    behavior of the Kofax VRS software, the ISIS driver  for your scanner was installed when you chose an 
    ISIS installation option when installing the scanner driver. 
    Problem: When using "Create single image files"  not all of the pages scanned are sent to the 
    destination.
    There are a limited number of times that an applicat ion can open. When "Create single image files" is 
    selected and you are scanning to a  destination application, each side of the page scanned will open a 
    new instance of that application. If you want to  have an image open in an application immediately, 
    limit your scan batch to less than 5 pages.
    Alternatively, you can set your destination to be a folder location on your computer or network using 
    "Transfer to Storage". Select any file format and  then scan a large batch of papers. At the end of 
    scanning, the driver will immediately save all pages  scanned to that folder location without opening an 
    application.
    Problem: With "Skip Blank Originals" selected  not all of the blank pages have been removed. 
    If you are scanning light weight paper, such as 16l b or 18lb printer paper, the scanner may be picking 
    up faint images through the paper and the driver wi ll not drop those pages out of the final file. The 
    "Skip Blank Originals" result will vary based on the DPI range and paper weight. Generally 100 dpi or 
    150 dpi produces the best results.
    Problem: Using the “Repair” function for OneTouch in the Windows Control Panel caused the 
    OneTouch application to stop working. 
    1. Before attempting to repair OneTouch, unpl ug the USB cable connected to the scanner. 
    2. Perform the  Change/Repair  function again. If you are asked for the Install DVD, insert the disc 
    into the DVD-ROM player and click OK .

    3. When prompted, plug the USB 
    cable back into the scanner. 
    4. When the installation process finishes, click  OK on the Complete The Installation window, and 
    then click  Close. 
    5. Reboot your computer.
    Problem: OneTouch no longer functions after  installing Internet Explorer 7 or later on 
    Windows XP.
    This is a known issue where OneTouch stops responding  when Internet Explorer 7 is installed after the 
    scanner. To resolve the issue:
    1. Open the Windows Add/Remove Programs feature from the Control Panel.
    2. Find Windows Internet Explorer 7 (or later) and uninstall it using the change/remove options.  Follow the wizard through a complete removal of the Internet Explorer 7 software.
    3. Find OneTouch and uninstall it using the chan ge/remove options. Follow the wizard through a 
    complete removal of the OneTouch program.
    4. Unplug your scanner's USB cable from the computer.
    5. Reboot your computer.
    6. Install Internet Explorer 7.
    7. Install your scanner driver.
    Problem: OCR fails when scanning using the the OCR features from OneTouch.
    Anti-SpyWare software that is set to always run ma y interfere with the driver functionality. It is 
    recommended that you temporarily disable or su spend the automatic protection feature during 
    scanning. After scanning is complete and your file  has been saved, turn the auto-protect feature back 
    on. You do not need to clos e the Anti-SpyWare software.
    Problem: The paper jams in the ADF. 
    To reduce the number of paper jams, smooth and st raighten the paper before scanning, and adjust the 
    guides to the paper size. Paper fed into the ADF at an angle can cause the feed mechanism to jam. If 
    paper jams are occurring more frequently, try cleani ng the roller with a soft cloth dampened with 
    Isopropyl rubbing alcohol. Excessive dust on the ro ller can make it appear worn and will also cause 
    issues feeding paper. See  Cleaning the Automatic Document Feeder  on page 196 for cleaning 
    instructions. 
    Problem: The ADF won’t feed pages properly. 
    A dirty or worn ADF pad assembly or dirt on the ro ller can cause documents to feed in skewed at an 
    angle, or multiple pages to feed at the same time. Try cleaning the ADF. See  Cleaning the Automatic 
    Document Feeder  on page 196. If that doesn’t solve the problem, the pad assembly may need to be 
    replaced. It is us er-replaceable. See  Xerox DocuMate 3640 Parts List  on page 214 for the ordering 
    number. See  Replacing the ADF Pad Assembly  on page 199 for the steps to replace the pad.

    Problem: The paper jams about halfway through the scan. 
    Check the Flatbed glass to make sure no items are on it when you scan from the ADF. Multiple items 
    placed on the Flatbed glass will raise the lid slig
    htly, thus preventing the pages feeding through the 
    ADF from touching the glass. When  that occurs, the pages are unable to feed back out of the ADF and 
    the pages can jam.
    Problem: The scans from the ADF are always crooked.
    Make sure to align the paper guides to the edges of  the paper. If you are scanning small items that are 
    smaller than the paper guides’ minimum adjustment, scan these items on the Flatbed glass instead.
    Problem: If the USB cable is disconnected during a scan, the scanner does not reconnect when the 
    USB cable is plugged back in.
    Unplug the power cable from the scan ner, and then plug it back in.
    If the scanner does not reconnect:
    1. Unplug the power cable from the scanner.
    2. Restart your computer.
    3. After the restart is complete, plug the power cable back in.
    Problem: The motor runs but doesn't feed the paper. 
    Make sure the paper is securely seated in the ADF so the paper rests on the rollers. The paper sensor 
    that initiates the rollers to grab the paper may be  engaged, but the paper may not be fully in the ADF 
    tray so the rollers cannot grab a page to feed it through.
    Problem: The scanner is reporting Double-Feed er rors but there is only one page in the ADF.
    If there is excessive paper dust or dirt on the Doub le-Feed sensor, the scanner will report false Double-
    Feed errors. Make sure you clean the Double-Feed  sensor, when cleaning the ADF, as described 
    previously in this section. The Do uble-Feed sensor is located in the body of the ADF, the receiving 
    sensor is underneath the ADF door,  opposite of the Double-Feed sensor.

    Error Light Troubleshooting Codes
    The status light indicates the current state of the 
    scanner. Descriptions of the most common patterns 
    are listed below. Contact Xerox Technical Support if you experience a different blinking pattern.
    Normal Operation
    • Blinking blue:  indicates the scanner is waking up from  power saving and preparing to scan.
    • Steady blue:  indicates the scanner is ready to scan.
    • Steady red : indicates that the scanner is busy.
    Error Codes
    If your scanner experiences hardware problems, the st atus light will blink red, and the LED flashes an 
    “E” then the error code number. 
    In all cases you should turn off your scanner an d check your scanner setup. Open the scanner and 
    make sure your input tray is fully seated in the  scanner casing, make sure your ADF pad is securely 
    snapped in place, verify the connections to the PC and wall.

    1 or 6 The scanner does not recognize  that the scanning head is in the 
    correct position to start scanning. This usually occurs after a paper jam. Turn the scanner off then 
    back on again. If the problem pers
    ists, turn off the scanner, restart 
    the computer, then turn the scanner on.
    2 or 3 The scanner lamp is either turned  off or the lamp has not warmed 
    up enough to initiate scanning. In the OneTouch hardware properti
    es turn the scanner lamp on. If 
    the lamp is already on, turn the lamp off then on again. If the 
    problem persists and your scanner’ s power is plugged into a surge 
    protector or UPS battery backup, try plugging the scanner power 
    directly into a wall outlet.
    4Paper jam Open the ADF cover and remove the jammed page. See 
    Clearing 
    Paper Jams
     on page 195 for details.
    The LED displays “E” and

    5 ADF cover open. If this E-code shows when 
    attempting to scan from the ADF, make 
    sure the ADF door is securely closed and the scanner lid is fully 
    closed against the flatbed glass.
    7 The scanner was locked when you  tried to scan. Turn off the scanner, unlock the lock by pushing the lock tab down, 
    then turn the scanner back on. The lock is located on the side of 
    the scanner. See page 26 for the lock’s location. If the problem 
    persists, reboot your computer.
    9 Multiple page feed error. Multiple pages were fed through the ADF at one time. Open the  ADF and pull out all pages. If problem persists clean the scanner 
    and/or replace the ADF pad assembly.
    All 
    Other 
    Codes An internal part in the scanner 
    may have malfunctioned.
    Turn off the scanner, reboot your computer, then turn the scanner 
    back on. If the problem persists, contact Xerox Technical Support.

    Uninstalling Your Scanner
    Use the options in the Windows Control Panel to 
    remove the scanner driver and modules, and any 
    other software provided with the scanner.
    Please leave the scanner’s USB cable plugged into the computer while uninstalling the scanner driver. 
    Unplug the USB cable when directed to do so in the instructions below.
    Open the list of installed programs in the Windows Control panel.
    • Windows XP: Open Add/Remove Programs
    • Windows Vista and later: Open Programs and Features
    Uninstalling the scanner driver:
    1. In the list of installed programs click on 
    Xerox DocuMate 3640 driver.
    2. Click the 
    Change/Remove or Uninstall button.
    3. Click 
    Yes when asked to confirm that you want to remove the driver.
    The driver will now be removed from the computer. When the driver uninstallation is complete the 
    progress window will automatically close.
    4. Turn off the scanner and unplug the USB cable.
    5. Reboot the computer if you are prompted to do so.
    Follow these instructions to remove any of the  other software you installed with your scanner. 
    Depending on the software provided with your scan ner, and which applications you installed during 
    the scanner setup, the application list may include:
    • Visioneer OneTouch
    • Visioneer OneTouch OmniPage OCR module
    •Nuance PaperPort
    • Nuance OmniPage
    •Nuance PDF Converter
    • Kofax Virtual ReScan (VRS™)
    Uninstalling Visioneer Acuity™:
    Visioneer Acuity is automatically installed when yo u install the scanner driver using the installation 
    disc. You can also download the Visioneer Acuity mo dule from the support pages for your scanner at 
    www.xeroxscanners.com . Visioneer Acuity is a utility with  advanced image processing options to 
    instantly improve the visual clarity of anything you scan.
    1. In the list of installed programs select 
    Visioneer Acuity Assets.
    2. Click  Ye s when asked to confirm you want to remove the software.
