    PC2AUDIX Data Retrieval
    Overview
    With a few exc ep tions, PC2AUDIX d oes not use live d ata from the voic e mail 
    database for its traffic reports and billing operations. Therefore, before you can 
    g enerate PC2AUDIX traffic  rep orts or p erform b illing op erations, you must 
    capture ap p rop riate d ata from the voic e mail and d ownload  it to d isk files on your 
    PC’s fixed disk. 
    How effec tive PC2AUDIX is for your org anization dep end s on how retrieve d ata. 
    The PC2AUDIX traffic  rep orts are valuab le b ec ause they help  you c omp are 
    asp ec ts of your voic e mail system op eration over a period  of time. This 
    information help s you sp ot trend s, antic ip ate p rob lems, and g enerally manage 
    your system more effec tively. 
    For these tools to b e effec tive, however, you must p rod uc e rep orts using  the 
    same typ es of d ata for similar p eriods of time. If a rep ort for one week c ontains 
    five d ays’ worth of d ata and  the same rep ort for the next week c ontains only three 
    d ays’ worth of d ata, c omp aring the two rep orts is of little value. 
    Similarly, the voic e mail system b illing  op erations c an b e ac c urate and  useful 
    only if all ap p ropriate d ata is reflec ted  in their c alc ulations. For b est results, you 
    must d etermine:
    nthe types of d ata you need  to retrieve.
    nhow freq uently you need  to retrieve this d ata.
    nhow long  you need  to retain it.

    Onc e you have d one this, then establish a routine for reg ularly retrieving  this d ata 
    as p art of your normal system ad ministration. Be aware that the voic e mail 
    system d oes not retain d ata indefinitely. For example, subsc rib er d aily traffic  
    information is kep t b y the voic e mail system for eight d ays and  then d eleted . 
    In ad dition to retrieving  d ata, you must p eriodic ally verify the PC2AUDIX 
    sub sc rib e d atab ase on our PC, c omp aring  it to the sub sc rib er d atab ase on the 
    voice mail system. This verification fixes any discrepancies by adding or deleting 
    sub sc rib ers in the PC datab ase to matc h the 
    live d atabase on the system. You 
    must perform this step before initially retrieving subscriber traffic data 
    using PC2AUDIX or no subscriber data will be retrieved.
     After this initial 
    verific ation, you must verify the d atabase if you have ad d ed  or c hang ed  
    sub sc rib er rec ord s in the voic e mail d atabase, otherwise those c hang es are not 
    updated in the retrieved data. 
    There are to two d ifferent ways to retrieve and  verify d ata: 
    nOn d emand , b y selec ting  an op tion from the AUDIX Data Retrieval menu. 
    This retrieves and verifies d ata immed iately, whic h means you c annot use 
    your PC for other p urposes until the p roc ess is c omp lete. This method  c an 
    tie up  your PC for several minutes to several hours, d ep end ing on how 
    muc h d ata is b eing  retrieved or verified  or retrieved , and  how b usy the 
    voic e mail system is at the time. 
    nSc heduled automatic ally, using  the PC2AUDIX sc hed uling  op tion. 
    This method  allows you to retrieve and  verify d ata when it is more 
    c onvenient or when the system traffic  is lig ht, suc h as d uring  off-hours. 
    This also frees up  your PC, and  lets you establish a regular sc hed ule for 
    automatic ally verifying  the PC datab ase and  retrieving  the information for 
    g enerating rep orts. For b est results, you should  know how to retrieve d ata 
    using the AUDIX Data Retrieval menu b efore using  the sc hed uling  op tion 
    described in Chap ter 8, 
    Sc hed uling  PC2AUDIX Data Retrieval. 
    Prerequisites
    Before you c an retrieve d ata from the voic e mail system to the PC, you must: 
    1. Be ab le to use your PC to c onnec t and  c ommunic ate with the voic e mail 
    system as d esc rib ed  in the p revious c hap ters. 
    2. Ac tivate traffic  c ollec tion feature on the DEFINITY AUDIX 
    System-Parameters Feature sc reen or on the AUDIX System : 
    Ap p earanc e. Onc e the c ollec tion feature is ac tive, the voic e mail system 
    maintains d ata to d esc rib e the system ac tivity.  You must ac tivate the 
    feature p rior to the period  for whic h you wish to retrieve data. 
    3. ADAP must retrieve c ollec ted  d ata from the system in a timely fashion 
    b efore it is d eleted  from the voic e mail system b y internal aud its:

    4. There must b e suffic ient d isk sp ac e availab le on your PC for the that d ata 
    you retrieve. PC2AUDIX c alc ulates how muc h sp ac e is req uired  for eac h 
    op eration and  does not c ollec t d ata if there is not enoug h sp ac e availab le 
    on your fixed  d isk. If you have insuffic ient d isk sp ac e, refer to Chapter 10, 
    PC2AUDIX Datab ase Manag ement Tools, for instruc tions on b ac king  up  
    selec ted  retrieved  d ata to a d iskette and  then d eleting that d ata from your

    Initiating PC2AUDIX Data Retrieval
    Perform the following  step s to initiate d ata retrieval for the PC2AUDIX interfac e. 
    1. At the DOS prompt C> , enter cd
     
    machine_name to c hang e to the d irec tory 
    for the voic e mail system you want to retrieve data from. 
    2. Enter pc2audix
     to c all the PC2AUDIX software. 
    3. At the PC2AUDIX Root Menu, selec t 1) Data Retrieval. 
    The AUDIX Data Retrieval menu ap p ears. 
    This menu d isp lays the d ata that is availab le on the PC for rep ort 
    g eneration. When you selec t an op tion, PC2AUDIX c onnec ts to the voic e 
    mail system and  retrieves the ind ic ated  d ata. 
    For eac h typ e of d ata, this sc reen d isp lays the dates of the old est data 
    and  most rec ent d ata c urrently stored  on your PC. This d ata may not b e 
    c ontinuous; the d isplayed  d ates are simp ly the old est and  newest d ates 
    for eac h typ e. This sc reen also d isp lays the most rec ent verific ation d ates 
    for the loc al and  remote subsc rib er d irec tories, whic h should  help  you 
    d etermine if you need to verify the sub sc rib er d atab ases. If d ata has never 
    b een retrieved  or verified , the system c reation d ate of 01/01/70 or 01/70 
    ap p ears instead  of an ac tual d ate or month. 
    4. Selec t the ap prop riate op tion for the typ e of d ata you wish to retrieve or

    Hourly System Traffic Data Retrieval
    Hourly System Traffic  Rec ord s c ontain hourly information from the voic e mail 
    system for hourly feature, load , c ommunity, sp ec ial features, and  network load  
    rep orts. The time involved  for retrieving  these rec ord s is minimal. 
    PC2AUDIX req uires hourly system traffic  data for the following  rep orts: 
    nAverag e Ports in Use Rep ort 
    nPeak Ports in Use Report 
    nHourly Filesystem Usag e Rep ort 
    nHourly Feature Statistic s Rep ort 
    nHourly Load  Statistic s Rep ort 
    nHourly Network Load  Statistic s Rep ort

    To retrieve hourly system traffic data:
     
    1. At the AUDIX Data Retrieval menu, selec t 1) Hourly System Traffic  Data.

    Defaults in the d ata fields are as follows: 
    nStart c ollec tion d ate and  time are the last hourly traffic  d ata rec ord  
    on the PC p lus one hour or 191 hours p revious to the c urrent time, 
    whic hever is g reater. 
    nStop  c ollec tion d ate and  time is one hour p revious to the c urrent 
    time. 
    nCollec tion rang e start and  stop  hours are 8 a.m. to 6 p .m. 
    2. If you wish, c hang e the d efault d ates and  times. Otherwise PC2AUDIX 
    retrieves the d efault-sp ec ified  information. 
    3. Press   (CHANGE/RUN) to retrieve the d ata. 
    Daily System Traffic Data Retrieval
    Daily System Traffic  Rec ord s c ontain d aily information from the voic e mail system 
    for d aily feature, load , c ommunity, sp ec ial features, remote messag es, and  
    network load  (AUDIX system only) reports. These rec ords remain in the voic e 
    mail datab ase for 32 d ays, exc ep t for remote messag es rec ord s, whic h remain 
    for eig ht d ays. The time involved  for retrieving  these rec ord s is minimal. 
    PC2AUDIX req uires d aily system traffic  data for the following  rep orts: 
    nDaily File System  Usag e Rep ort 
    nDaily Session Usag e Rep ort 
    nDaily Remote Traffic  Report 
    nDaily Feature Statistic s Rep ort 
    nDaily Load  Statistic s Rep ort 
    nDaily Network Load Statistic s Rep ort

    Monthly System Traffic Data Retrieval
    Monthly System Traffic  Data rec ord s c ontain monthly information from the voic e 
    mail system for the monthly remote messag e rep ort. These rec ord s remain in the 
    voic e mail d atab ase for 13 months. The time involved  for retrieving  these rec ord s 
    is minimal. PC2AUDIX req uires this information for the Monthly Remote Message 
    Rep ort. 
    To retrieve monthly system traffic data:
     
    1. At the AUDIX Data Retrieval menu, selec t 3)

    Monthly Subscriber Traffic Data 
    Retrieval
    Monthly Sub sc rib er Traffic  Data rec ord s c ontain monthly information from the 
    voic e mail system for the monthly sub sc rib er rep ort. You c an c ollec t only one 
    month of d ata at a time. The time involved  for this d ata c ollec tion c an b e leng thy, 
    from one to three hours, d ep ending  on the numb er of sub sc rib ers on your system 
    and  the system traffic  load  while the c ollec tion takes p lac e. 
    PC2AUDIX req uires monthly sub sc riber traffic  data for the following  rep orts: 
    nMonthly Sub sc rib er Statistic s Rep ort 
    nMonthly Billing  Calc ulation and  Billing  Rep orts 
    nSub sc rib er Usag e and  Sub sc riber Spac e Threshold  Rep orts

    1. Determine if you need  to verify the sub sc rib er datab ase. You must 
    sync hronize the PC2AUDIX sub sc rib er d atabase with the voic e mail 
    d atab ase b efore you retrieve sub sc rib er traffic  d ata. To d o this, selec t 6) 
    Verify Loc al Sub sc rib er Direc tory for loc al sub sc rib ers, d esc ribed  later in 
    this c hap ter. 
    (You 
    must p erform this step  b efore retrieving  sub sc rib er traffic d ata initially 
    using PC2AUDIX or no sub sc rib er d ata will b e retrieved . Thereafter, you 
    must perform this step if you have added or changed subscriber records 
    in the voic e mail d atab ase or those c hang es will not b e up d ated  in the 
    retrieved  d ata.) 
    2. At the AUDIX Data Retrieval menu, selec t 4)
